Payment Transfers


Payment Transfers allow you to move payments between two or more order items, so long as they are part of the same order. This process will attempt to move the entirety of the payment, but will only move the amount of the receiving product. This can be used in various situations, such as registration substitutions or replacing one merchandise product with another.


This feature supports two main scenarios:
  1. Transferring from a Canceled Item to an Active Item: Transfer the balance from a canceled cart item to an active cart item.
  2. Transferring from an Active Item to a Canceled Item: Transfer the balance from an active cart item with an overpayment to a canceled cart item that has an open balance to be paid.
When the Transfer Balance Button Appears. The Transfer Balance button on the staff view Order Processor will appear on the screen under the following conditions:
Scenario 1: Canceled Item to Active Item
  • Order Modification: The order must be in an editable state.
  • Item Cancellation: A cart item within the order must be canceled.
  • Existing Payment: The canceled cart item must have been paid for.
  • New Active Item: There must be a new active cart item in the same order.

Scenario 2: Active Item to Canceled Item

  • Order Modification: The order must be in an editable state.
  • Item Cancellation: A cart item within the order must be canceled with an open balance to be paid.
  • Overpayment: An active cart item within the order must have an overpayment. For example, if the item costs $50 but the user paid $70, there is an overpayment of $20.
  • Open Balance: The canceled cart item must have an open balance that can be covered by the overpayment.
Example Scenarios
Scenario 1: Canceled Item to Active Item
  • Initial Purchase: You add a t-shirt to your cart for $50, pay for it, and submit the order for processing.
  • Order Modification: You later decide to cancel the t-shirt and add a membership for $70 to the same order.
  • Balance Transfer: The Transfer Balance button will appear because:
    • The order is still editable.
    • The t-shirt was canceled and was previously paid for.
    • The membership is a new active item within the same order.
  • Transfer Execution: By clicking the Transfer Balance button, the $50 from the canceled t-shirt is transferred to the membership. You will then only need to pay the remaining $20 to complete the order. Necessary transactions will be created for the same.
Scenario 2: Active Item to Canceled Item
  • Initial Purchase: You add a t-shirt to your cart for $50, pay $70 (overpayment), and submit the order for processing.
  • Order Modification: You later decide to cancel another item (e.g., a book) within the same order that had an open balance of $20 to be paid.
  • Balance Transfer: The Transfer Balance button will appear because:
    • The order is still editable.
    • The book was canceled and has an open balance of $20.
    • The t-shirt has an overpayment of $20.
  • Transfer Execution: By clicking the Transfer Balance button, the $20 overpayment from the t-shirt is transferred to cover the open balance of the canceled book. Necessary transactions will be created for the same.

Enabling the Balance Transfer

Payment Transfers and Automatic Payment Transfers are, by default, not enabled.

Enabling Payment Transfers

  1. From All Tabs | Payment Methods
  2. Click New Payment Method 
  3. Name the Payment Method "Transfer"
  4. Save
  5. From All Tabs | Entity 
  6. Link the Payment Method Created in steps 2-4 to the Entity by creating a new Entity Payment Method

Automatic Payment Transfers

When the Automatic Payment Transfer process is enabled and an adjustment is made to an existing order such that there is an order item with a refund owed and an active order item with payment due, then Nimble AMS automatically performs adjustments. If the automatic transfer is not enabled, or there are multiple canceled and active order items in a cart, then you can manually move around the payments as necessary from the Payment page in the order process. 

Enabling Automatic Payment Transfers

  1. From All Tabs | Configuration
  2. Select Edit next to AllowAutomaticPaymentTransfers
  3. Set the Value field to "True"
  4. Save


Scope of Automatic Balance Transfer

The automatic balance transfer feature does not apply to scenarios where the balance is transferred from an active cart item to a canceled cart item. This transfer must be done manually using the Transfer Balance button.
